Rental Policies
At G&D Camper Rentals, our goal is to make your camping experience simple, enjoyable, and stress-free from the moment you book until the day we pick up your camper. The information below outlines our rental policies, payment information, fees, and other important details to help you know exactly what to expect before your trip.
Please take a few moments to review the sections below. If you have any questions, we're always happy to help.
Payments & Deposits
Booking your camper is simple! Here you'll find everything you need to know about reservation deposits, payment schedules, and available payment options.
-
A non-refundable reservation deposit is required at the time of booking to reserve your camper and secure your requested dates.
Your reservation is not confirmed until the reservation deposit has been received.
-
The remaining balance is due 7 days before your scheduled delivery date.
For your convenience, the remaining balance will automatically be charged to the payment method used when your reservation was made, unless other payment arrangements have been made in advance.
-
Absolutely!
If you would like to make multiple payments before your final balance is due, simply reply to your booking confirmation email and let us know.
We'll be happy to send you a QuickBooks invoice, allowing you to make payments at your own pace before your final payment due date.
-
Yes!
If you would like to pay using a different payment method than the one used when making your reservation, simply reply to your booking confirmation email.
We'll send you a QuickBooks invoice, which allows you to:
Make payments using a different payment method.
Pay any amount toward your balance before your final payment is due.
Conveniently track your remaining balance online.
-
Reservations made through our website are processed using the payment method selected during checkout.
If you request a QuickBooks invoice, you'll have access to additional payment options through QuickBooks, giving you the flexibility to choose the payment method that works best for you.
If you have any questions about your payments or would like to make special payment arrangements, we're always happy to help. Simply reply to your booking confirmation email, and we'll work with you to find the best solution.
Additional Fees & Charges
At G&D Camper Rentals, we believe in transparent pricing with no hidden surprises. Here is an overview of the additional fees and authorizations that may apply to your reservation.
-
A $50 Cleaning & Restocking Fee is applied to every camper rental.
This fee helps cover the cost of professionally preparing the camper for each guest, including:
Cleaning and sanitizing the interior
Laundering provided linens and towels
Restocking essential supplies
Inspecting the camper before your arrival
This allows every guest to begin their camping adventure with a clean, well-stocked camper that's ready to enjoy.
-
We proudly deliver, set up, and pick up our campers throughout the CSRA and surrounding areas.
Your delivery fee is automatically calculated during the booking process based on the delivery address entered and the corresponding delivery zone.
The delivery fee includes:
Delivery to your campsite
Complete camper setup
Leveling and stabilizing the camper
Connecting available water, sewer, and electrical hookups
Pickup at the end of your reservation
Booking Multiple Campers?
When booking more than one camper for the same delivery location, the booking system will initially apply one delivery fee during checkout.
After your reservation has been reviewed by G&D Camper Rentals, the appropriate delivery fees for each additional camper will be manually added to your reservation.
If you have questions about delivery charges before booking, please don't hesitate to contact us.
-
A $200 Boondocking Fee applies to reservations at locations that do not provide full utility hookups.
This may include private property, trail ride events, hunting camps, festival grounds, or other locations where water and/or electrical hookups are limited or unavailable.
The Boondocking Fee helps cover the additional equipment, preparation, setup, and servicing required for these types of locations.
If you're unsure whether your destination has full utility hookups, we recommend contacting the property owner, campground, or event organizer before booking. Once you've confirmed what utilities are available, we're happy to help determine whether the Boondocking Fee will apply to your reservation.
-
A $300 Security Deposit Authorization will be placed on your payment method on the day of delivery.
This is not a charge. It is a temporary authorization hold used to protect against damages, missing items, or excessive cleaning beyond normal wear and tear.
Provided the camper is returned in the same condition in which it was delivered, the authorization will be released following the completion of the post-rental inspection.
A portion or all of the authorization may be captured if necessary to cover costs resulting from, including but not limited to:
Damage to the camper or its contents
Missing or damaged equipment
Excessive interior or exterior cleaning
Mud or excessive dirt requiring additional cleaning
Evidence of smoking or vaping inside the camper
Unauthorized pets
Stains, burns, or odors requiring professional cleaning
Any additional costs resulting from violations of the Rental Agreement
Our goal is always to release the full authorization, and most guests have their authorization released without any charges.
-
While uncommon, additional charges may apply if the camper is returned in a condition requiring repairs, replacement of missing items, excessive cleaning, or other costs beyond normal wear and tear.
Any applicable charges will be documented and communicated to you before they are processed.
Cancellation Policy
We understand that plans can change, and we'll always do our best to work with you whenever possible. Our cancellation policy is designed to be fair to both our guests and our business, as each reservation blocks the camper from being available to other customers.
Please review the information below so you'll know what to expect should you need to cancel or modify your reservation.
-
If you need to cancel your reservation, please notify us as soon as possible. The sooner we know, the better our opportunity to make the camper available for another guest.
Your non-refundable reservation deposit secures your camper and the dates you've selected. Because we reserve those dates exclusively for you, the reservation deposit is non-refundable.
If you cancel your reservation more than 30 days before your scheduled delivery date, your non-refundable reservation deposit can be applied as a credit toward one future rental. Simply remind us that you have a reservation credit when booking your next camper, and we'll be happy to apply it toward your reservation deposit.
If you have questions about your reservation or cancellation options, please don't hesitate to contact us. We're always happy to help.
-
If your reservation is canceled between 8 and 30 days before your scheduled delivery date, your non-refundable reservation deposit will be forfeited; however, you will not be responsible for paying the remaining balance of your reservation.
-
Camping is an outdoor activity, and weather conditions are beyond our control. Refunds, credits, or cancellations will not be issued due to rain, heat, cold, wind, or other unfavorable weather conditions.
If a campground closes or local authorities issue a mandatory evacuation due to severe weather or another emergency, G&D Camper Rentals will work with you to reschedule your reservation or apply an appropriate reservation credit whenever possible.
-
If your reservation is canceled 7 days or less before your scheduled delivery date, you will be responsible for the full rental amount.
However, if we are able to rebook the camper for the same reservation dates, we will gladly refund the rental amount paid, less the non-refundable reservation deposit.
Because last-minute reservations can be difficult to fill, refunds cannot be guaranteed unless the camper is successfully rebooked.
-
If we are unable to deliver your camper because the renter is unavailable, cannot be contacted, fails to arrive at the agreed-upon location, or otherwise fails to take possession of the camper on the scheduled delivery date and time, the reservation will be considered a no-show.
No-shows are treated as a last-minute cancellation. The non-refundable reservation deposit will be forfeited, and the renter will be responsible for the full rental amount. No refunds or reservation credits will be issued unless otherwise approved by G&D Camper Rentals.
If you anticipate being delayed or your plans change, please contact us as soon as possible. We'll do our best to work with you whenever circumstances allow.
Rental Rules
To help ensure every guest has a safe, enjoyable, and stress-free camping experience, we've established a few rental rules. These policies help us keep our campers in excellent condition while allowing future guests to enjoy them just as much as you do.
We don't expect you to memorize every rule—we simply ask that you treat our campers with the same care and respect you would your own. Following these guidelines helps ensure everyone enjoys a clean, comfortable, and memorable camping experience.
Please review the information below before your reservation. If you have any questions, we're always happy to help.
-
For your safety and the comfort of everyone staying in the camper, the maximum occupancy listed for each camper must not be exceeded.
Occupancy limits are based on available sleeping accommodations and manufacturer safety recommendations.
-
Item descG&D Camper Rentals provides delivery, complete setup, and pickup for every reservation.
For your safety and to protect the camper, our campers may not be towed or relocated by guests.
Once the camper has been delivered and set up, it must remain at the original delivery location for the duration of your reservation unless otherwise approved by G&D Camper Rentals.ription
-
Please ensure your campsite or destination can safely accommodate the size of your reserved camper and provides adequate access for delivery and setup.
During the booking process, our system will verify whether your destination is within our delivery area. If you have questions about whether your location can safely accommodate your camper, we're happy to help.
-
We understand that pets are part of the family! However, pets are only permitted with prior approval from G&D Camper Rentals.
Unauthorized pets may result in additional cleaning charges and may result in a partial or full capture of your Security Deposit Authorization.
Guests are responsible for cleaning up after approved pets and for preventing damage to the camper, furniture, and furnishings.
-
To ensure every guest enjoys a clean, fresh-smelling camper, smoking and vaping are strictly prohibited inside all G&D Camper Rentals campers.
Evidence of smoking or vaping—including odors, ashes, cigarette butts, burn marks, or residue—will result in professional cleaning charges and may result in a partial or full capture of your Security Deposit Authorization.
If anyone in your group smokes or vapes, we simply ask that they do so outside and well away from the camper, with all smoking materials properly disposed of.
-
We love helping guests celebrate birthdays, anniversaries, holidays, and other special occasions!
To help prevent damage to the camper, please do not use nails, screws, staples, duct tape, packing tape, or other adhesives on the walls, cabinets, furniture, windows, or exterior of the camper.
If you'd like to decorate for your stay, please contact us before your reservation. We're happy to recommend decorating methods that are safe for the camper and easy to remove.
-
To help keep our campers in excellent condition, please do not move indoor furniture outside or relocate furniture between campers.
Outdoor furniture provided with your rental is designed for outdoor use. Indoor furniture, mattresses, and cushions should remain inside the camper at all times.
If you have questions about the furniture or need assistance during your stay, please contact G&D Camper Rentals before moving or removing any items.
-
For your safety and to help prevent accidental damage, guests are not permitted to climb on the roof of the camper.
If you notice something on the roof that requires attention, please contact G&D Camper Rentals.
-
Awnings can be damaged quickly by sudden wind gusts or severe weather.
Please retract the awning whenever you're away from the camper or if windy or stormy conditions are expected.
Damage resulting from leaving the awning extended during unsafe weather conditions may result in repair charges.
-
If you notice any water leaking inside or outside the camper, please contact G&D Camper Rentals immediately. Promptly reporting leaks helps prevent additional damage and allows us to address the issue as quickly as possible.
-
If you experience a mechanical issue, equipment malfunction, or emergency during your stay, please contact G&D Camper Rentals as soon as possible.
Please do not attempt to repair, modify, or replace any part of the camper or its equipment unless instructed to do so by G&D Camper Rentals.
Reporting issues promptly allows us to assist you quickly and helps prevent additional damage, so you can get back to enjoying your camping adventure.
-
For your safety, please do not disconnect or modify the propane system.
Candles, fireworks, and other open flames should never be used inside the camper.
Please use grills, fire pits, and other outdoor cooking equipment responsibly and at a safe distance from the camper.
-
Our campers are equipped with appliances designed specifically for RV use.
To help prevent overloaded circuits, please avoid operating multiple high-powered appliances at the same time. Hair dryers, space heaters, hot plates, and similar items may trip breakers if used together.
If you experience an electrical issue, please contact us rather than attempting to repair it yourself.
-
RV plumbing systems are different from household plumbing.
Only RV-safe toilet paper and human waste should be flushed down the toilet. Paper towels, feminine hygiene products, baby wipes (including "flushable" wipes), diapers, paper products, food, grease, and other items should never be placed into the toilet or drains.
Improper use of the plumbing system that results in clogs or damage may result in additional charges.
-
Accidents can happen, and we appreciate your honesty if something does.
Please report any damage, missing items, or mechanical concerns as soon as possible so we can address them promptly.
Guests should not attempt to repair or modify any part of the camper unless instructed to do so by G&D Camper Rentals.
-
Please be respectful of neighboring campers, campground rules, quiet hours, and the property where your camper is located.
Illegal activities are strictly prohibited and may result in immediate termination of your rental without refund.
-
We understand that you're on vacation, and we don't expect the camper to be spotless when your trip is over.
However, we do ask that you return the camper in good condition by removing personal belongings, wiping up excessive spills, and leaving the camper reasonably clean.
Excessive cleaning beyond normal use may result in additional cleaning charges.
-
Before checkout, please:
Remove all trash from the camper.
Wash and put away any dishes you used.
Store or dispose of any remaining food.
Keeping food properly stored during your stay also helps prevent unwanted insects and pests.
-
Before your scheduled pickup, please:
Remove all personal belongings.
Remove all trash.
Wash and put away used dishes.
Secure all windows and doors.
Turn off lights and appliances not needed for pickup.
These simple steps help us prepare the camper for its next guests and keep future reservations on schedule.

When booking multiple campers for the same location, the website will initially apply only one delivery fee during checkout.
After we receive your reservation, we’ll review your booking and manually adjust the invoice to include the appropriate delivery fees for each additional camper.
-

We take care of the setup so you don't have to.
-
For the best camping experience, we recommend campsites with full utility hookups, including water, sewer, and electrical service.
Reservations at locations without full utility hookups may require a Boondocking Fee.
If you're unsure whether your destination has full hookups available, please contact the campground or property owner. Once you know what utilities are available, we're happy to help determine whether the Boondocking Fee will apply.
-
Please help us ensure the camper remains accessible throughout your reservation.
When it's time for pickup, please make sure vehicles, trailers, golf carts, or other equipment are not blocking access to the camper.
Adequate access allows us to safely connect to and remove the camper without unnecessary delays.
-
If you'd like to enjoy a little more time at your campsite on your final day, we recommend booking your campsite for an additional night directly through the campground or property owner.
This allows you to relax and enjoy your morning without feeling rushed during campground checkout, which is often one of the busiest times of the day.
If you'd like to request a later pickup time, please contact us before your reservation. While we can't guarantee alternate pickup times, we'll do our best to accommodate your request whenever possible.
-
Occasionally, circumstances beyond anyone's control—such as severe weather, campground restrictions, traffic, or unexpected delays—may affect scheduled delivery or pickup times.
If this happens, we'll communicate with you as soon as possible and work together to minimize any inconvenience.
